Show Setup

A step-by-step guide to getting your competition ready for registration and judging.

1. Create your brand

Your brand is your competition company - the organization that runs your shows. You only need to do this once. Give it a name and an optional description. All your shows will live under this brand.

2. Create a show

A show is a single competition event. Set the location, start date, and end date. Shows start in setup mode - they're not visible to competitors yet, so you can take your time configuring things.

3. Add divisions

Divisions are the categories competitors enter. Each division has:

  • A name (e.g. "Bachata Duo" or "Salsa Solo")
  • A category - Pro, Amateur, Pro-Am, or Open
  • An entry type - Solo, Duo, or Team
  • A price in dollars
Importing from CSV

You can add divisions one at a time or import them from a CSV file if you have a lot. Copy and upload this sample CSV. The format is one row per division with columns for category, name, entry type, and price.

4. Set up judging categories

Judging categories are the criteria judges score on - things like Technique, Musicality, or Presentation. You can optionally assign weights to each category if some should count more than others.

Weights must add up to 100. Any category with a weight of 0 will be skipped during scoring. If all weights are 0, categories are weighted equally.

5. Create schedules

A schedule represents a stage or location at a specific date and time. For example, "Main Stage" on Saturday at 2pm. Each schedule also sets how many judges will be on the panel (1-5).

6. Assign divisions to schedules

Use the schedule manager to assign divisions to your schedules. You can drag divisions to reorder them within a schedule. Each division can only be scheduled once.

7. Invite judges

Send invitations to your judges by email. When they accept, they'll be added to your show and will be able to join judging panels on competition day.

8. Open for registration

When everything looks good, open your show for registration. This makes it visible on the shows page and lets competitors start signing up. Make sure your payment account is connected before opening (see Payments & Fees).

Show states

Shows move through three states: SetupOpenStarted. Each transition is one-way and cannot be reversed, so make sure you're ready before moving forward.

  • Setup - everything is editable. Take your time getting divisions, schedules, and judging categories right.
  • Open - competitors can register. Show dates are locked, but you can still add divisions and adjust schedules.
  • Started - registration closes and judging begins. Most setup changes are locked, though you can still manage schedules that haven't started their run yet.
